# Write messages people can answer

Make your first message recognizable, relevant, and easy to respond to.

## Identify yourself and give context

A recipient should be able to tell who is writing and why. Mention your name, your business, and the real inquiry or conversation you are following up on. Avoid implying that you have met or spoken when you have not.

Personalization is useful when it helps someone recognize the request. Check names and appointment details before an automation sends them. A missing merge field is a reason to pause the workflow, not send the template anyway.

## Ask for one next step

Choose the one answer you need to move the conversation forward. Keep the message readable on a phone, with enough context to answer without opening a separate document. There is no universal character count that guarantees a reply.

A useful, specific question

> Hi Taylor, it’s Sam from Northline Repairs. I have the photos you sent. Would you prefer a morning or afternoon visit?

## Keep the conversation clear

-   Use the recipient’s stated preferences instead of guessing at their needs.
-   Share longer explanations when they are useful, rather than splitting one thought into a burst of notifications.
-   Be clear when an automated assistant is responding and make it easy to reach a person.
-   Check the existing thread before replying so teammates do not send conflicting answers.
-   Pause promotional follow-up when someone asks you to stop.

## Improve using actual replies

Review the questions people ask back. If several people need the same clarification, put that context in the next version of your message. Compare similar groups and time periods in Analytics; a high delivery count alone does not tell you that a message was useful.

Use examples as a starting point, then adapt them to a real, expected conversation. Clear writing helps the recipient decide what to do; it does not guarantee delivery or a particular response rate.
